Data protection

When you ask what the appointment is about, you are collecting health data

And that is not just any data: the GDPR classes it as a special category, with more obligations and higher fines. Most clinic websites I see get it wrong, almost always because nobody warned them. This is included and explained, not sold as an extra.

Frequently asked questions

I already use management software. Can it be connected?
Depends on the software. Many of those used in dental and physio clinics have a way of connecting, and then the appointment from the website goes straight into your diary. If yours has not, the website sends you the request and you confirm: you still save the phone call, but you enter it by hand. Tell me which one you use and I will check before quoting.
Is it not better if they ring? That way I do the filtering.
For some enquiries it does, and that is why online booking does not replace the phone: they live side by side. What it does is take the easy appointments off your hands — check-ups, cleanings, second sessions — which are the majority and the ones needing least judgement. The complicated ones still come by phone, but no longer competing with the other twenty calls of the day.
I am worried my diary will fill up with people who do not turn up.
It is a real risk and there are three brakes on it: an automatic reminder 24 hours before, the option of asking for a deposit on the first visit, and a clear notice of the cancellation policy. With the first one alone, no-shows drop a fair bit. If your case is a delicate one, the booking can be left as a «request» for you to confirm.
Can I show the prices?
You can, and it usually works better than hiding them: the patient who rings to ask the price and hangs up has cost you a phone call for nothing. The usual approach is to put a price on the standard things (check-up, cleaning, session) and leave «quote after assessment» for the long treatments, which is the truth.
We are a practice with several practitioners and different hours.
That is covered: each practitioner with their own diary, their services and their appointment lengths. The patient picks a treatment and only sees the slots of whoever does it. It is a bit more work to set up, but after that it runs itself.
What if I want to change my hours in August?
You change it from your phone in a minute: opening hours, holidays, the odd day closed. As soon as you save it, those slots stop being offered. There is no need to tell me.
